When you connect review platforms (such as Google Business Profile, Yelp, or TripAdvisor), we access and store review data, ratings, and reviewer information that is publicly available on those platforms. This data is essential for providing our review monitoring and analytics services.
We automatically collect technical information when you use our platform, including IP address, browser type, device information, operating system, referring URLs, and pages visited. We also collect usage data such as features accessed, actions performed, and session duration.
If you integrate third-party services (such as Slack, HubSpot, or Zapier), we may receive information from those services as necessary to provide the integration functionality you have requested.
2. How We Use Your Information
We use your information to provide, maintain, and improve our services. This includes monitoring reviews across connected platforms, generating AI-powered reply suggestions, performing sentiment analysis, calculating your Growth Score, and delivering analytics dashboards and reports.
We use your contact information to send service-related communications, including account notifications, review alerts, billing reminders, and product updates. You can manage your notification preferences in your account settings at any time.
We analyze aggregated, de-identified usage data to improve our AI models, enhance platform features, conduct research, and develop new products. This aggregated data cannot be used to identify individual users.
We may use your information to detect, prevent, and address fraud, abuse, security incidents, and technical issues, as well as to comply with applicable legal obligations.
3. Data Sharing & Third Parties
We do not sell, rent, or trade your personal information to third parties for their marketing purposes. We share your information only in the limited circumstances described below.
We use trusted third-party service providers to help us operate our platform. These include cloud hosting providers (AWS), payment processors (Stripe), email delivery services, and analytics tools. These providers are contractually obligated to protect your data and may only use it to perform services on our behalf.
We may share your information if required by law, regulation, legal process, or governmental request. We may also share information if we believe disclosure is necessary to protect the rights, property, or safety of ReputationSystems, our users, or the public.

5. Data Retention
We retain your account information for as long as your account is active or as needed to provide you with our services. If you delete your account, we will delete or anonymize your personal information within 30 days, except where we are required to retain it for legal or compliance purposes.
Review data collected from connected platforms is retained for the duration of your subscription. Upon account deletion, this data is permanently removed from our systems within 30 days.
Aggregated, de-identified analytics data may be retained indefinitely for research and product improvement purposes, as this data cannot be linked back to individual users.
Billing records and transaction history are retained for 7 years as required by tax and financial regulations.
6. Your Rights & Choices
Depending on your location, you may have the following rights regarding your personal information: the right to access, correct, or delete your data; the right to restrict or object to processing; the right to data portability; and the right to withdraw consent.
For users in the European Economic Area (EEA), we process your data under the lawful bases of contract performance, legitimate interest, and consent as defined by the GDPR. You have the right to lodge a complaint with your local data protection authority.
For California residents, the CCPA provides the right to know what personal information we collect and how it is used, the right to request deletion of your data, and the right to opt out of the sale of personal information. We do not sell personal information.

7. International Data Transfers
ReputationSystems is based in the United States. If you are accessing our services from outside the United States, your information will be transferred to, stored, and processed in the United States and other countries where our service providers operate.
For transfers of personal data from the EEA, UK, or Switzerland to countries that have not been deemed to provide an adequate level of data protection, we rely on Standard Contractual Clauses (SCCs) approved by the European Commission.
We take appropriate safeguards to ensure that your personal information remains protected in accordance with this privacy policy regardless of where it is processed.
8. Children's Privacy
Our services are designed for businesses and are not intended for individuals under the age of 16. We do not knowingly collect personal information from children under 16.
